Explanation

Shopify staff in SemPost

Who becomes the owner, an admin or an editor when your shop's staff open SemPost, how seats limit them, and how to change or remove them.

Anyone on your shop's staff who opens SemPost in your Shopify admin joins the shop's workspace, with a SemPost account of their own. No invitation is needed: opening the app makes them a member, unless you removed them from the team. Their role depends on who they are and on who came first.

Who becomes what

Who opens SemPostTheir role in the workspace
The shop's ownerOwner, even when a staff member opened SemPost before them
The first person in, when that isn't the shop's ownerAdmin until the shop's owner comes, then Editor
Every other staff memberEditor, in a free seat of your plan

What each role can do is in Roles and what each can do.

Until the shop's owner opens SemPost, the workspace has no owner. What only an owner can do waits for them, such as adding credit packs or extra social accounts to the Shopify bill, or making someone an owner. When the owner comes, the first person in goes on as an editor, and the invitations they sent are revoked; the owner can make them an admin again in Settings › Team.

The shop's owner stays the workspace's owner: Settings › Team marks them Shop owner, and nobody can remove them from the team or give them another role. They never need a free seat.

When the shop changes hands

Each time someone opens SemPost, Shopify tells it whether they own the shop. When the shop's new owner opens SemPost, they become the workspace's owner, even when every seat is taken, and the previous owner goes on as an admin. The new owner can change the previous owner's role or remove them in Settings › Team.

Each person's own account

Each staff member signs in with their own Shopify account. SemPost goes by that account's email address, which Shopify must have verified. If the person already has a SemPost account with that address, they use it, with its password, two-factor authentication and other workspaces. If not, SemPost makes them a new account without a password. Someone who uses SemPost's two-factor authentication enters the code from their authenticator app when the app opens.

Seats

Each member and each pending invitation takes a seat of your plan. When every seat is taken, a staff member who isn't a member yet can't get in: opening SemPost shows SemPost's team for this shop is full. Ask the shop's owner to free a seat or move to a bigger plan. The shop's owner, and the first person in, always get in.

To make room, revoke a pending invitation or remove a member in Settings › Team, or move to a plan with more seats with Change plan in Settings › Billing. Then the staff member opens SemPost again. Each plan's seats are in Plans and what they include.

Change a role

The owner and admins change roles in Settings › Team, as in any workspace: an editor can become an admin or a viewer, and only an owner can make someone an owner. The new role stays when the person opens SemPost again. The shop's owner's role can't be changed.

You can also invite people who aren't on your shop's staff, by email. They sign in and work at app.sempost.ai.

Remove someone

Remove from team takes a member's access away at once and ends their SemPost session in your Shopify admin. A staff member you removed stays out: opening SemPost in your Shopify admin no longer makes them a member, and shows An admin removed you from this shop's team in SemPost. Ask them to add you again.

To add them back, invite their email address with Invite teammate in Settings › Team, in the role you choose. The next time they open SemPost in your Shopify admin, they join in that role; they can also accept the invitation from its email at app.sempost.ai. Until then the invitation takes a seat. Invitations still open when you remove someone, the ones they sent and one addressed to them, are revoked: only a new invitation adds them back.

The shop's owner can't be removed from the team: SemPost always lets them in.

Someone who left your shop's staff

Removing someone from your shop's staff in Shopify doesn't remove them from SemPost's team: Shopify doesn't tell apps about it. They can no longer open SemPost in your Shopify admin, but they stay a member: they can still sign in at app.sempost.ai and work in the workspace (an account SemPost made in Shopify gets a password through Forgot your password?). To end their access, remove them in Settings › Team.

To help you spot them, Settings › Team marks a member who hasn't opened SemPost in your Shopify admin for 30 days with Not seen in Shopify for 30 days; the mark's tip says when they last did. Only owners and admins see it, and not while SemPost is removed from your shop.

If something goes wrong

  • SemPost's team for this shop is full. Ask the shop's owner to free a seat or move to a bigger plan. Free a seat as above, then open SemPost again.
  • Shopify has not verified your e-mail. Verify it in Shopify, then open SemPost again. The staff member verifies their Shopify account's email address, then opens SemPost again.
  • An admin removed you from this shop's team in SemPost. Ask them to add you again. An owner or admin removed the staff member in Settings › Team. To bring them back, invite their email address as above; then they open SemPost again.
  • The owner of this workspace's Shopify shop stays its owner: they can't be removed from the team or given another role. Shopify names them the shop's owner. When the shop changes hands, the new owner takes over as soon as they open SemPost.
